Data Deletion & Account Deletion Policy
This Data Deletion & Account Deletion Policy outlines the procedures for businesses and authorized users to request Elixiir account closure, the removal of eligible data, or the severance of external service integrations.
Elixiir Growth Services LLP (“Elixiir”, “we”, “us” or “our”) delivers specialized business software solutions, including Discover by Elixiir, Repeat by Elixiir, and WA by Elixiir.
Given that Elixiir processes operational data, client records, and transaction logs via third-party integrations, account termination and data erasure are treated as distinct regulatory actions.
This document operates in conjunction with Elixiir’s Privacy Policy and Terms of Service.
Section 01 — Clarifying Account Closure vs. Data Deletion
Terminating an Elixiir account does not trigger the instantaneous removal of all stored information. When a profile is deactivated or becomes dormant, data is transitioned into an archive state. Elixiir retains these archives by default unless an explicit deletion request is fulfilled, adhering to legal, regulatory, and security mandates. Users desiring permanent removal must submit a verified data-deletion formal request.
Section 02 — Authorized Requesters
A formal request for data or account deletion must originate from:
- The primary business account owner;
- A verified administrative user;
- A certified legal representative of the entity; or
- A party capable of demonstrating legitimate authority over the account.
Elixiir reserves the right to authenticate identity before commencing any deletion.
Section 03 — Procedure for Deletion Requests
To initiate the removal of an account or specific datasets, please email: support@elixiir.in
Requests must explicitly define the intent (e.g., “Account Deletion” or “Data Purge”) and should include:
- Legal business name;
- Associated account email and phone number;
- Specific branch or office location;
- Authorized administrator contact name;
- Product scope (e.g., WA by Elixiir);
- Detailed description of the scope of deletion.
DO NOT share passwords, OTPs, or full financial card details within these communications.
Section 04 — Verification Protocols
We enforce strict verification to prevent fraudulent data loss. Elixiir may request documentation to confirm identity, business standing, and the requester’s specific authority over the registered assets. We may delay or refuse requests where authentication is incomplete.
Section 05 — Impact of Business Account Deletion
Upon acceptance of a verified request, Elixiir removes or anonymizes data from active production environments. This process fundamentally restricts access to:
- Discover, Repeat, and WA by Elixiir modules;
- Client profiles, appointments, and loyalty logs;
- Inventory, staff settings, and financial reports;
- Communications and campaign analytics.
Businesses are responsible for exporting essential operational records prior to deletion.
Section 06 — Archive Management
If an account lapses without a deletion request, Elixiir stores data in a secure archive. This supports potential reactivation, dispute resolution, security audits, and legal compliance. Archived information is never utilized for external advertising purposes.
Section 07 — Customer and Prospect Records
Repeat by Elixiir manages specific client identifiers including contact details, purchase trends, transaction history, and business notes. When a business account is expunged, associated lead and customer data is typically anonymized or deleted, subject to statutory retention laws.
Section 08 — End-User Requests (Business Customers)
Elixiir acts as a processor for businesses. Individual customers seeking data correction or erasure should contact the respective business directly. Elixiir will assist the business entity in fulfilling these requests but cannot independently delete records without business-level authorization.
Section 09 — Selective Data Deletion
Businesses may request the removal of specific data categories (e.g., communication logs) without closing the primary account. Feasibility depends on technical dependencies, legal record-keeping requirements, and third-party API constraints. Assessments are conducted on a case-by-case basis.
Section 10 — Google Business Profile Integrations
Discover by Elixiir utilizes Google’s API to manage profiles. Disconnecting the integration is distinct from deleting data already pulled into Elixiir. Users can revoke access through Google Account settings, but an Elixiir-specific request is required to purge previously synchronized data.
Section 11 — Meta and WhatsApp Business Platform
WA by Elixiir operates via Meta’s Cloud API. Disconnecting Elixiir does not delete records maintained independently by Meta or WhatsApp. Businesses must interface directly with those providers to manage their native third-party accounts.
Section 12 — Third-Party Service Providers
Closure of an Elixiir account does not affect independent accounts with providers such as Google, Meta, Cashfree, DigitalOcean, or AI developers (OpenAI/Anthropic). These relationships must be managed separately by the business.
Section 13 — AI-Assisted Functionality
Elixiir integrates AI models to enhance services. While Elixiir-side data can be deleted, AI providers may retain temporary logs for security or API compliance. Refer to our main Privacy Policy for more nuanced details on AI data flows.
Section 14 — Financial and Transactional Retention
Data deletion excludes records strictly required for tax compliance, financial forensics, and payment dispute mitigation. Providers like Cashfree maintain their own retention protocols for regulatory adherence.
Section 15 — Physical Product Orders
Purchases of hardware or physical goods require retention of shipping and invoice data for warranty support, tax reporting, and fraud prevention, regardless of the software account status.
Section 16 — Mandatory Retention & Backups
Limited identifiers are retained to demonstrate compliance with deletion requests and to defend legal claims. Furthermore, data may remain in encrypted backups until normal rotation cycles overwrite the information. Backup data is not utilized for standard operations.
Section 17 — Anonymization and Aggregation
Information that has been permanently de-identified or aggregated for platform analytics and security is no longer considered personal or account-identifiable data. Elixiir retains such anonymized metrics to improve system reliability.
Section 18 — Permanent Consequences of Deletion
Deletion is typically irreversible. Once finalized, all configurations, customer logs, and analytics are lost. Businesses must perform due diligence to ensure all necessary data is backed up externally before finalizing a request.
Section 19 — Financial Obligations
Initiating a deletion request does not waive previous payment liabilities. Subscription fees and invoices for services rendered remain due. See our Payment, Cancellation & Refund Policy for financial terms.
Section 20 — Protection Against Abusive Requests
Elixiir denies requests that appear unauthorized, malicious, or intended to unlawfully destroy business records. We preserve data during active investigations into suspected fraudulent activity.
Section 21 — Accountability and Export Rights
Users should utilize built-in export tools before requesting deletion. Elixiir is not strictly liable for the loss of data once a verified deletion is executed. Businesses bear the sole responsibility for their record-keeping duty.
Section 22 — Request Withdrawal and Re-Onboarding
Contact support immediately if a request was submitted in error. If data has already been purged, it cannot be restored. New profiles created post-deletion will require full manual reconfiguration and fresh onboarding.
Section 23 — Professional Security Safeguards
We employ rigorous administrative controls to prevent unauthorized data loss. Elixiir staff will never request plaintext passwords or OTPs to process a standard deletion.
Section 24 — Policy Modifications
This policy is subject to updates based on technological or regulatory shifts. The “Last Updated” date serves as the current version indicator. Material changes will be communicated via verified account channels when necessary.
